Role Overview

The University of Arizona’s Libraries (UAL) is seeking a strategic, analytical finance professional to join the Library Business Team as Assistant Director, Finance & Administration. Working closely with the Director, Finance & Administration, you will oversee the financial stewardship of approximately $35M in annual resources, manage accounts, budgets, and sponsored projects, and supervise a team of three dedicated staff members.

Key Responsibilities

1. Financial Operations & Stewardship

• Serve as the fiscal officer for all UAL accounts, approving transactions with regulatory accuracy and compliance.

• Lead monthly reconciliation processes, resolve discrepancies promptly, and oversee day-to-day financial operations.

• Oversee the Information Access (Library Materials & Subscriptions) budget of $15.3M, monitoring activity and transaction feeds (API file feed).

• Manage payroll transactions and interpret UA and sponsor regulations, policies, and procedures.

2. Budgeting & Grant Management

• Execute budget development, monitoring, reforecasting, and variance analysis.

• Oversee fiscal year-end processes, pre- and post-award grant activity, and UA Foundation unit activity.

• Conduct financial reporting and validation (P&L, budget vs. actuals) and deliver project/grant updates to PIs and project leads.

• Provide financial data for national and external surveys (e.g., ACRL, ARL, UAAP).

3. Supervisory & Team Leadership

• Supervise, mentor, and evaluate a team of three finance professionals.

• Manage workload distribution, establish performance expectations, and foster a culture of collaboration and accountability.

Qualifications & Skills

Minimum Qualifications:

• Bachelor's degree (or equivalent advanced learning attained through professional-level experience).

• Minimum of 3 years of related work experience in finance, accounting, or business operations.

Preferred Qualifications:

• Experience in higher education or government accounting and budgeting across various fund types.

• Experience with University of Arizona policies, procedures, and UAccess systems.
